Amazon Seller Connector by QuickBooks can import Amazon sales, refunds, fees, products and payouts into QuickBooks Online. The difficult part is not connecting the app. It is choosing the correct import date, mapping accounts properly, reviewing transactions in the right order and matching the payout without recording revenue twice.

Why does the connector have several names?

Intuit currently uses several labels for the same new-generation Amazon integration:

Important distinction

Amazon Seller Connector records what your business sells. Amazon Business Purchases records products and supplies your business buys through an Amazon Business account. Intuit states that the purchases app cannot connect a personal Amazon account or an Amazon Seller account.

What the native connector does not do

It does not support QuickBooks Desktop

The native connector requires QuickBooks Online. Sellers using QuickBooks Desktop or Enterprise need another import method, a third-party connector that explicitly supports Desktop, or a planned migration to QuickBooks Online.

It does not provide two-way inventory synchronization

The app can match Amazon products to QuickBooks items by SKU and name. That allows imported sales to use the correct QuickBooks product or inventory item. Intuit's current documentation says the connector does not synchronize inventory quantities in both directions. Sellers may need to maintain inventory levels separately in Amazon and QuickBooks.

It cannot currently import orders as unpaid

The connector is not designed for an open-order, accounts-receivable or unpaid-invoice workflow. Intuit says the new ecommerce connectors cannot currently import orders as unpaid.

It does not create individual Amazon buyer records

Buyer phone numbers, email addresses and other personal information are not supplied to QuickBooks through this integration. Amazon transactions are therefore associated with a generic Amazon customer profile unless the user changes the customer during review.

It imports individual transactions rather than one settlement summary

The current connector imports individual transaction-level activity. This provides detail, but it can also create more records to review and maintain than a settlement-summary tool. This difference is central when comparing the native connector with A2X for QuickBooks.

Who should use Amazon Seller Connector by QuickBooks?

The native connector is usually a practical starting point when the seller:

  • Already uses QuickBooks Online.

Requirements before connecting Amazon

Intuit lists three basic prerequisites: a QuickBooks Online account, Amazon Seller Central login credentials and Seller Central permission to install third-party applications. A safe accounting implementation also requires several decisions before the first sync.

  • Identify the bank account that receives Amazon payouts.
  • Identify the payment account used when money is owed to Amazon.
  • Record the final Amazon transaction already entered manually or through another connector.
  • Record the final payout already reconciled.
  • Review existing Amazon income, refund, fee, reserve, tax and clearing accounts.
  • Review product names and SKUs in Amazon and QuickBooks.
  • Decide whether automatic posting should remain off during initial testing.

Complete the QuickBooks setup for Amazon FBA sellers before importing data. The connector cannot correct a poorly structured chart of accounts after transactions have already been posted.

Highest-risk setup decision

Do not select an import start date that overlaps with Amazon activity already recorded in QuickBooks. The connector can import up to 12 months, but the longest possible history is not always the correct choice.

How to connect Amazon Seller Central to QuickBooks Online

  1. Sign in to QuickBooks Online with permission to install and manage integrations.
  2. Open Integrations and select the option to find integrations or apps.
  3. Search for Amazon Marketplace Connector by Intuit. Product wording may differ by region, so confirm that the provider is Intuit and the connection is for Amazon Seller Central.
  4. Select Get app now and continue to Amazon authorization.
  5. Sign in to Amazon Seller Central and approve the requested connection.
  6. Select the transaction start date. Use the day after the final Amazon activity already recorded through another method.
  7. Select the deposit account that receives Amazon payouts.
  8. Select the payment account used if Amazon charges the business rather than issuing a payout.
  9. Choose whether to add high-confidence transactions automatically. Leave this off during the first test unless the existing mappings have already been verified.
  10. Choose whether to enable product tracking. The connector will attempt to match products by SKU and name.
  11. Review fee, reserve, adjustment and tax mappings.
  12. Select Sync now and open Integration Transactions to monitor the import.

Intuit says the initial import can take from 10 minutes to three hours, depending on transaction volume. Transactions arrive in batches, so a partial first batch does not automatically mean the connection failed.

Before enabling automatic posting, verify the import date, product matches, deposit account, payment account, account mappings and one complete payout from sale through bank match.

The connector does not treat the bank deposit as gross revenue. It records the underlying Amazon activity first and then uses that activity to explain the payout.

When a sale is confirmed

Intuit states that QuickBooks creates a sales receipt for the sale details and an expense for the related fees. The entries remain connected to the payout workflow rather than being treated as an unexplained cash deposit.

When a payout is confirmed

QuickBooks creates a deposit that links the included sales, refunds, fees and adjustments. The resulting deposit is then available to match against the Amazon amount downloaded from the bank.

Do not double-count revenue

Process Amazon activity and confirm the payout before handling the downloaded bank deposit. In the bank feed, use Match. Do not add the deposit as new income after the imported Amazon sales have already been recorded.

How to reconcile an Amazon payout in QuickBooks

Step 1: Review the component transactions

Open Integration Transactions and review every sale, refund and fee included in the payout. Complete missing product or account information and confirm that the required items reach Categorized status.

Step 2: Review and confirm the payout

Open the payout and verify that:

  • Every included sale and refund is categorized.
  • Fees and adjustments use the intended accounts.
  • Reserves, gift cards, disputes and taxes are not left unmapped.
  • The selected deposit account is the account that actually receives the funds.

Confirming the payout creates the connected QuickBooks deposit.

Step 3: Match the bank transaction

Open Bank Transactions, locate the Amazon deposit and match it to the deposit created by the connector. If no match appears, return to the payout and component transactions before creating anything manually.

Recording only the $730 deposit as revenue would hide $1,000 of gross sales, $100 of refunds and $150 of fees. Correct reconciliation preserves each component and explains how the business arrived at the net cash received.

Product tracking, inventory and COGS

When Product Tracking is enabled, the connector attempts to match Amazon products with existing QuickBooks products or services. Intuit says matching uses SKU and product-name information. Close matches appear for review, allowing the user to choose the correct item instead of automatically creating a duplicate.

Using a QuickBooks inventory item on a sales receipt can support quantity-on-hand and cost-of-goods-sold entries according to the item's QuickBooks configuration. However, three separate issues must not be confused:

Amazon explains that marketplace facilitator laws can make Amazon responsible for calculating, collecting, remitting and refunding supported marketplace taxes in applicable jurisdictions. Intuit states that the new connector automatically handles U.S. marketplace taxes through Sales Tax Payable and maps merchant-liable taxes to the relevant tax agency. Outside the United States, tax treatment generally depends on user-defined mappings.

Form 1099-K

The IRS states that Form 1099-K reports gross payment activity and should be used with other records to determine and report the correct income. The gross amount is not reduced for fees, credits, refunds, shipping, cash equivalents or discounts. This is why Amazon gross sales, deductions, payouts and any information return must be reconciled rather than compared only with net bank deposits.

Compliance boundary

The connector organizes accounting data. It does not replace Seller Central reports, bank statements, inventory records, tax returns or review by a qualified tax professional.

Safe migration checklist

  1. Complete pending reviews and open reconciliations in the old connector.
  2. Document the last imported transaction and last reconciled payout.
  3. Record current product and account mappings.
  4. Disconnect the legacy connector only after the cutoff is documented.
  5. Choose a new start date that does not overlap.
  6. Review the first import and re-establish any unmatched products.

Intuit says disconnecting the legacy app does not remove transactions already recorded in QuickBooks. Pending items may require separate review.

  • Allow for the documented sync interval of every few hours.
  • Allow up to three hours for a large first import.

The Amazon bank deposit will not match

  • Confirm all included sales and refunds.
  • Map every payout adjustment.
  • Confirm the payout itself.
  • Verify the selected deposit account.
  • Check whether the bank deposit was already added manually.
  • Review whether an included transaction was excluded.

Duplicate sales appeared

The most common preventable causes are an overlapping historical start date, running two connectors over the same period, manually recording the same Amazon activity and adding the net bank deposit as income after the underlying sales were posted.

A product does not match
